At Harvard Vanguard, we employ a team approach to healthcare. This means you will have access to a wide array of physicians and other experienced healthcare professionals - all dedicated to improving your health and managing your wellness. Your primary care physician leads this team that includes physician assistants, nurse practitioners, nurses and medical assistants who assist in providing and effectively coordinating your care. We encourage you to call us promptly whenever you have a concern about your health.

Appointment Requests

Office visits are arranged by appointment only. When you call for your appointment, it is important to be direct and thorough about the reason for your request. We understand that some requests may be private and respect your wish to request a visit for "personal reasons." However, when you provide the reason for your visit, the support staff can schedule an appropriate amount of time to address your needs. In the event that your physician is not available to see you within a medically acceptable timeframe, you may be seen by another member of the clinical team that you selected (either nurse practitioner/physician assistant or a physician). 

If you are having a life-threatening emergency, call 911 or your local emergency access number. If you are unsure of your medical needs, call our office number any time day/night and you will be directed to the appropriate staff person. 

Arrive 10 minutes early
Please arrive 10 minutes before your appointment time. This will allow time for you to complete the registration and check-in process. Our goal is to see patients at the time of their scheduled appointment, however, on occasion, there will be unavoidable delays as a result of medical emergencies. 

Late arrivals
If you arrive late for an appointment and your physician is still able to see you, please understand that your time together may be shortened so that other patients will not be kept waiting. You may elect to reschedule or wait until the end of your physician's schedule where it is possible to devote more time. Again, our goal is to make the most of you and your physician's visit together.

If you need to cancel an appointment, please call 24 hours in advance so that we may use the appointment time for another patient.

Referrals

Our primary care physicians have thoughtfully selected a preferred group of specialists, typically within Harvard Vanguard or a limited group of outside offices that they trust to provide you with high quality care. Your primary care physician works with this trusted group of specialists to coordinate your care using the established relationships and systems. Coordinating your care in this way ensures that your medications, labs, other test results and clinical notes are most easily seen by your treating physicians. This integrated approach has been proven important to overall care. 

Note that not all of the specialists in your health plan's network are included in Harvard Vanguard's referral relationships. Therefore, it is not sufficient to know that a specialist accepts your health plan (insurance) to assume that you may be referred there. Please communicate with your primary care doctor regarding referrals to access the best care for your particular medical issue and to avoid the possibility that you may have to pay out of pocket for the specialty services.

Prescription Refills

At Harvard Vanguard, we have on-site Pharmacies at 14 practice locations. Our pharmacists are here to help you. Our goal is to help you feel confident and knowledgeable about the medications you are taking. Medications only work when taken properly. We encourage you to ask questions, and we provide written instructions with every prescription. So how can Harvard Vanguard's pharmacy services help you? 

Fewer Trips to the Pharmacy
• Filling prescriptions on-site allows you to pick up a 3 month supply at one time for most medications.*
• Less wait time. Your prescriptions are started while you complete your visit.

Easy Refill Ordering
• Patients can order refills by calling the phone number on your prescription container - 24 hours a day…7 days a week.
• Patients can order refills securely, on-line
Either way, you can place your order - 24 hours a day, 7 days a week, 365 days a year. By ordering in advance, we can prepare your prescription for your arrival. 

Your Prescription Records in one System
• Your Harvard Vanguard electronic medical record links directly with our pharmacy computer system so we have accurate, up-to-the-minute information about every prescription your doctor writes for you.
• Our computer systems automatically check for potential interactions with other medications you are taking.
• Our pharmacists can quickly contact your clinician should questions arise with your prescription 

Quality Service
• Our highly trained pharmacists are available to assist you with any questions you may have regarding your medication.
• Our pharmacy will work to resolve any insurance authorization issues. 

Delivering Prescriptions by Mail
At Harvard Vanguard, we are committed to offering care and service to all of our patients in the most convenient fashion. We offer a complete Mail Service Program at no additional charge to our Harvard Vanguard patients.* Simply fill out a Mail Service form either in person or over the phone to your pharmacist, and we will mail your prescription anywhere in the United States. This added convenience also allows you to prepay for your prescription if you choose, can eliminate the hassle of traveling to the pharmacy, and can help you with your prescriptions if you are outside of the area.
*Check with your employer or insurance company, as there are some exceptions. 

Easy Prescription Transfer
Transferring your prescriptions to the Harvard Vanguard pharmacy is just a phone call away. Call the Harvard Vanguard pharmacy of your choice and we will have your prescriptions transferred for you. 

Faster Relief
Fill your new prescription for an antibiotic, topical cream or ointment, or seasonal medication for your cough, cold, allergy or poison ivy at the Harvard Vanguard pharmacy when visiting your physician - and relief could start before you leave our building.

Off Hours' Coverage

All Harvard Vanguard patients have access to adult and pediatric weekend and holiday urgent care at 6 regionally located practices (Braintree, Chelmsford, Kenmore, Peabody, Somerville, and Wellesley).  Unless it is a life-threatening emergency (in which case you should call 911), you can use our weekend and holiday urgent care hours for most health-related situations. 

To make an urgent care appointment on a weekend or holiday, call your doctor's office.  Even if your doctor's office does not offer urgent care hours, your call will be automatically transferred to a Harvard Vanguard practice in that region that does.

The Peabody practice has on-site pharmacy, laboratory, radiology, nutrition, ultrasound, and optical services.
